This Privacy Policy will inform you as to how we look after your personal data when you use our web application called 'morbit studio', or visit our company website and tell you about your privacy rights and how the law protects you.

    Data We Collect and Purpose of Collection

    We capture information about the users of the application within your company, which includes the user's name, email address, job title, and country. When external audio or video calls are made, we capture only the 3rd parties' names. This data is collected to provide call records and call media for the application users and company.

    Company Website

    Our company website does not collect any personal data except if you use the 'Contact Us', 'Book a demo' or a Job application form to get in touch with us. If you accept cookies, then we might collect certain information automatically, including your IP address, the type of browser being used, and certain other non-personal data about your computer or device (such as operating system type or version, and display resolution).

    Data Retention

    The data is retained for a period of 12 months.

    Data Sharing

    If the customer is using our services through a managed service from one of our partners, then their partner will also have access to the data within the application. This is managed through the customer and partner contract, not via Morbit Software Ltd.

    Data Storage and Transfer

    morbit studio is hosted on Amazon Web Services (AWS) located in Ireland, which is within the European Union. Therefore, your data is stored securely within the EU and will not be transferred outside of the EU.

    Cookies

    Cookies are used only if the user accepts them on our company website or logs into morbit studio.

    User Rights

    Under the General Data Protection Regulation (GDPR), you have several rights regarding your personal data. These rights include the right to access, correct, erase, object to processing, or request the portability of your personal data. You can exercise these rights by requesting details from us, and we will provide a copy of your data. Normally, there is no charge for this, however, if a request is ‘manifestly unfounded or excessive’ (for example, repetitive requests) a fee may be charged to cover our administrative costs in responding.

    Data Security

    We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed. This includes database encryption for all tables with usernames and passwords, as well as all participant display names and video address. Additionally, information on the Teams tenant is also encrypted in the database.

    AI Insights and Automated Analysis

    morbit studio offers an optional AI Insights feature. This feature is switched off by default and is only active where your organisation (or its managing partner) has explicitly chosen to enable it. Where it is not enabled, no data is processed by this feature.

    Where AI Insights is enabled, summary information derived from your call and meeting data — such as call counts, dates, call types, durations, quality ratings, and the names of meeting organisers — is analysed to generate written reports and insights. This analysis is performed using Amazon Bedrock, an AI service that runs entirely within our own Amazon Web Services environment in the EU (Ireland) region, so this data does not leave the EU.

    Importantly, when this analysis is carried out:

    • Your data is not shared with the AI model's provider and is not accessible to them;

    • Your data is not used to train or improve any AI model;

    • Your data is not retained by the AI service after the report has been produced.

    The AI Insights feature assists with analysis and reporting only. It does not make automated decisions that produce legal or similarly significant effects, and it is not used for automated decision-making within the meaning of applicable data protection law. AI-generated insights are intended to support, not replace, human judgement.

    By setting up and configuring morbit studio, you are consenting to us using your data as per the terms of this policy.
